What a Certified Translation Actually Looks Like
A UK certified translation is a printed document set with three parts: the translated text laid out to visually mirror the source (so a receiving official can compare seals, stamps, table structure and signature positions at a glance); a certification page carrying the Statement of Truth and the four Paragraph 39B elements; and a stamped copy of the source document bound to the translation as an integrity reference. The three parts are numbered, page-stamped, and delivered as one bound set.
The samples below show the certification page. The translated text pages themselves are formatted per document type — a birth certificate translation mirrors the GRO or foreign civil registry layout, a diploma mirrors the awarding institution's certificate, a court order mirrors the court's own paragraph numbering and signature block. That mirroring is functional: it lets the receiving authority verify the translation against the original without cross-referencing line numbers.

Statement of Truth and Certification
I, the undersigned translator, certify that the attached document consisting of two (2) pages, translated from Polish into English, is a true, accurate and complete translation of the source document (a Polish akt urodzenia, birth certificate, GRO reference 1234/2001, issued by Urząd Stanu Cywilnego, Warszawa, on 15 March 2001).
This translation is provided in accordance with Paragraph 39B of the UK Immigration Rules and, where relied on as evidence in civil proceedings, is accompanied by a Statement of Truth under Rule 32.14 of the Civil Procedure Rules. I understand that proceedings for contempt of court may be brought against a person who makes, or causes to be made, a false statement in a document verified by a statement of truth without an honest belief in its truth.
The Four Paragraph 39B Elements
UKVI's Paragraph 39B requires the certification block to carry four specific elements. Every UKVI-facing translation we produce carries all four in the same layout. If any element is missing, the receiving caseworker is entitled to reject the submission.
- Confirmation of accuracy. A clear statement that the translation is a true, accurate and complete rendering of the source document. Ambiguous language ("substantially accurate", "for information only") does not meet the standard.
- Date of certification. The date on which the translator signed the certification block, expressed unambiguously (day, month, year). For long-life documents used months after certification, some receiving authorities re-request a fresh certification if the original date is stale.
- Translator's full name and signature. A named individual accountable for the translation. Firms may operate under a trading name, but the signing translator's name and, where held, professional membership must be identifiable.
- Translator's contact details. An address and either an email or telephone number by which the receiving authority can verify the certification independently of the applicant. Contactless certification blocks are rejected.

Frequently Asked Questions
Why does a certified translation need a specific format?
UKVI's Paragraph 39B of the Immigration Rules specifies four elements that must be present on every certified translation: a confirmation that the translation is an accurate and complete rendering of the source; the date; the translator's full name and signature; and the translator's contact details. UK courts additionally accept a Statement of Truth under CPR 32.14 for evidence purposes. The layout below meets both.
Is the certification wording standardised or does each translator write their own?
The exact wording is not statutorily prescribed. What matters is that the four Para 39B elements are present and the confirmation of accuracy is unambiguous. In practice most reputable UK certified translators use a consistent block that includes 'I certify that the above is a true and accurate translation from [source language] to English', the translator name, the translator's professional membership (where held), signature, date and contact block. Do certified translations need a physical wet-ink signature?
For most UKVI and civil registry uses, a scanned signature on a printed PDF is accepted. For court submissions under CPR 32.14 and for some High Court proceedings, a wet-ink signature on the physical copy is preferred and, in some cases, mandatory. We provide both a PDF version and a signed physical copy delivered by tracked post.
Where does the stamp appear on the translation?
Our stamp is applied on the certification page next to the translator's signature and on each translated page as a page-integrity mark. This confirms that all pages belong to the same certified document set and prevents page substitution. The stamp includes the trading name, company number (if applicable) and the certification date.
Do these samples show real client data?
No. Every sample is fictional. Names, dates, addresses, document numbers, court references, employer names and personal identifiers are made up for illustration only. We do not publish real client documents anywhere, on any surface, ever.
Can I use these samples to certify my own translation?
No. UKVI Para 39B accepts translations from professional translators certifying their own work, and our template is presented here to show the format only. Producing a self-certified translation of your own document without the professional context is a common cause of UKVI application rejection.
