Why Bundle Interpreting and Translation on One Contract

The two services run on different production paths. An interpreter is a live human on the call, in the courtroom, in the clinic. A certified translation is a written document produced against a fixed accuracy standard, signed and delivered. Different workflows, different rate cards. But the same case very often needs both, and running them through two separate suppliers creates three problems most procurement teams recognise: two invoicing streams reconciled monthly, two vetting standards checked per practitioner, and terminology that drifts when the spoken side and the written side of the same case are handled by unrelated teams. A bundle contract resolves all three without inventing a new product: one PO covers both, one account manager owns escalations across both, and where the same case runs spoken and written work in the same language pair, we route it through the same interpreter or a tightly briefed pair so the courtroom exchange and the written record read as one voice.

The bundle model has no discount off the rate card. Interpreter rates are the same as our published interpreting rate card; translation rates are the same as our per-page rates on certified translation cost. The value is operational: fewer suppliers to manage, cleaner invoicing, and consistent handling across two related workflows.

How It Works

Four steps from RFP to first booking under a bundle contract.

1

Scope + Rate Card

Language matrix, expected volumes on both sides, sectors, vetting standard. Rate card and coverage matrix confirmed in writing same day. MSA and NDA negotiated in parallel where required.

2

Account Manager + Onboarding

One named UK account manager owns both interpreter bookings and translation orders. Vetting documentation supplied per practitioner (DBS, enhanced DBS or BPSS as retainer requires). Invoice routing configured on 30-day terms.

3

Live Bookings + Document Orders

Interpreter bookings and translation orders placed against the retainer via email, WhatsApp or portal. Same-day confirmation on scheduled interpreting; sub-24h on standard translation. Escalation path for out-of-hours, PACE, A&E.

4

Monthly Reconciliation + Invoice

Monthly invoice on 30-day terms with per-language, per-sector, per-service breakdown. Retainer bookings reconciled monthly; overage billed at published rate card. Quarterly ops review agreed at onboarding.

What Our Bundle Clients Say

Feedback from solicitor firms, NHS trusts and local authorities running both services on a single retainer.

"Immigration and family firm, six-figure annual volume across Polish, Ukrainian, Arabic and Urdu. Moving both interpreting and translation to a single retainer cut our accounts team's month-end reconciliation to under an hour. The account manager owns both sides."

Practice manager, mid-sized City law firm

"NHS trust with a mixed Polish, Somali, Bengali and Arabic patient tail. The bundle covers the interpreter at admission and the discharge documents in the same PO. DSPT alignment is documented on both sides, which our IG team wanted before we signed."

Head of patient experience, NHS Foundation Trust

"Local authority safeguarding volume, high Romanian and Polish, tail into Punjabi and Somali. Section 47 conference interpreted, minutes and care plan translated the same week. One invoice and a clean audit trail for the LGO."

Frequently Asked Questions

What is an interpreting and translation services bundle and why book both together?

A bundle contract covers both live spoken interpreting (in person, telephone or video) and certified written translation of documents on one UK account, with one rate card, one purchase order and one monthly invoice. It matters when the same case needs both: the solicitor consultation is interpreted, the resulting witness statement is translated for court; the NHS trust interprets the admission, the discharge summary is translated for community follow-up; the local authority interprets the safeguarding conference, the resulting minutes and care plan are translated for the family. Booking through one provider removes coordination overhead across two invoicing streams, keeps terminology consistent across spoken and written work on the same case, and reduces the number of vetted accounts your procurement team has to maintain.

Which UK sectors typically bundle interpreting and translation?

Solicitor firms handling immigration, family, criminal and personal injury (consultation interpreted, evidence bundle translated), NHS trusts (interpreter attends admission or clinic, follow-up letters and discharge documents translated), local authorities (safeguarding case conferences interpreted, minutes and care plans translated), Legal Aid Agency contracts (the LAA rate framework covers both), universities (student meeting interpreted, transcript or ID document translated for admissions), and corporates (M&A discovery interpreted, due-diligence documents translated, contracts finalised in both languages).

How is the bundle priced compared to booking each service separately?

Standard published rates apply to both services on the bundle model. Interpreter rates match our interpreting rate card (£49.99 to £85 per hour depending on setting, £2.85 per minute for on-demand telephone). Translation rates match our per-page certified rate (£39.99 per page standard for most language pairs, with the specific-language and doc-type adjustments listed on the relevant pages). The bundle benefit is not a discount off the rate card, it is operational: one invoice, one account manager, one PO, consistent terminology, and payment terms aligned to your procurement cycle rather than mixed across two suppliers.

Can the same language pair be covered on both sides of a bundle?

Yes, and this is the common shape. Polish, Ukrainian, Russian, Arabic, Romanian, Urdu, Mandarin, Punjabi, Bengali and Somali are all covered on both the interpreting and the certified translation desks with the same UK-based professional pool. Where the same case runs both spoken and written work (a solicitor consultation in Polish followed by translation of Polish civil-registry documents for court, for example), we prefer the same practitioner or a tightly briefed pair so terminology stays consistent across the two outputs.

Do you cover both UKVI-standard translation and HM Courts interpreting on one contract?

Yes. Certified translations follow Immigration Rules Para 39B (accuracy statement, translator name and signature, contact details, date) accepted by UKVI, HM Courts, NHS trusts and local authorities. Interpreting covers HMCTS Crown, Magistrates', County, Family Court, First-tier Tribunal (Immigration and Asylum Chamber), Employment Tribunal and Employment Appeal Tribunal; PACE Code C police-station attendance; NHS DSPT-aligned clinical settings; and Home Office UKVI substantive asylum interviews. Bundle contracts spanning UKVI casework and HM Courts hearings on the same client are common and administered on one PO.

What is your onboarding time for a bundle contract?

A working retainer is typically live within 5 to 10 working days from RFP: rate card and coverage matrix confirmed same day, master services agreement and NDA negotiated in parallel, vetting documentation (DBS, enhanced DBS or BPSS as required) supplied per interpreter and per translator, invoice routing set up on 30-day terms. First bookings often run against a pilot period while the contract is finalised, invoiced under the published rate card.

How do you handle confidentiality and data protection across both services on one contract?

All interpreters and translators sign NDAs before the first assignment. Sector-specific frameworks apply: UK GDPR and DPA 2018 baseline sitewide; NHS work runs under Data Security and Protection Toolkit (DSPT) with Caldicott Principles on patient-identifiable information; financial services follow FCA principles on client confidentiality; legal work carries legal professional privilege where the practitioner attends as agent of the solicitor. Document handling uses encrypted transfer channels; no source or translation stored longer than the contract requires.

Which single account manager owns both sides of the retainer?

One named UK account manager per bundle contract, covering both interpreter bookings and translation orders. That account manager is the single point of contact for scheduling, coverage escalations, rate-card questions, invoice reconciliation and vetting documentation. Weekly or monthly reporting cadence agreed at onboarding, typically volume-by-language and volume-by-sector for procurement's monthly ops review.
